Security & Privacy

Your financial information is handled with care, confidentiality, and industry standard security practices. Below you’ll find details about how your information is protected.

Why does Calm Counts Bookkeeping need my personal and financial information?
To provide accurate bookkeeping services, I need access to certain financial and business records such as bank statements, transaction data, payroll information, and communications related to your account. I collect only what is necessary to do my job well.

How is my information kept secure?

I use a combination of administrative, technical, and physical safeguards to protect your information, including:

  • Secure, password‑protected systems
  • Encrypted cloud‑based accounting software
  • Multi‑factor authentication where available
  • Secure client portals for document sharing
  • Limited access to client data
  • My security practices are reviewed regularly to keep them current.

Do you sell or share my information?

No. Your information is never sold.

Information is shared only:

  • With your permission
  • With trusted service providers (such as accounting software platforms) who are required to protect your data
  • When required by law

Is my information stored digitally or on paper?

Most client information is stored electronically using secure, reputable cloud‑based systems. Any paper records are kept in a locked, secure location and are destroyed securely when no longer needed.

What software do you use, and is it secure?

I use established, reputable accounting and payroll platforms that include industry‑standard security features such as encryption and access controls. These providers are selected in part based on their commitment to data security.

What happens if there is a data breach?

If a security incident occurs involving your unencrypted personal information, I will:

  1. Take immediate steps to secure systems
  2. Investigate what happened
  3. Notify affected clients as required by Minnesota law
  4. Take corrective action to prevent future incidents

Fortunately, strong safeguards make incidents unlikely—but preparation matters.

How long do you keep my records?

Client records are retained only as long as necessary for business, legal, and regulatory purposes. When records are no longer required, they are securely deleted or destroyed.

Do you work with contractors or employees who can access my data?

Currently, Calm Counts Bookkeeping is operated by the owner. If contractors or employees are added in the future, access to client data will be limited and confidentiality requirements will apply.

What can I do to help keep my information safe?

You play an important role in data security. Please:

  • Use strong passwords on your accounts
  • Keep your own devices updated
  • Notify me immediately if you suspect fraud or unauthorized access
  • Use secure methods to share documents

What if I have questions or concerns about privacy?

Questions are always welcome. Transparency and trust are important here.
